Proposed PBP Scoring Changes

SAFE FOSTER HOME SUBMISSIONS IN GA + SCORE Rollout FY 2019-2020

WHATS NEW To support CPAs in filing SAFE foster home approvals and re-evaluations, GA+SCORE has updated the following screens: 1. Staff Annual Training (purple) 2. Provider Snapshot (orange) 3. Initial Approval (green) 4. ReEvaluation (green)

Until all CPAs are SAFE Certified, GA+SCORE will use transitional screens to collect information about initial approvals and reevaluations. 1. REPORTING SAFE TRAINING HOURS When reporting a SAFE training on the purple Profile >> Staff Annual Training screen, upload a scanned copy of the certificate from the

training. Be sure that the Training Name clearly references SAFE so that OPM can find these records. 1. REPORTING SAFE TRAINING HOURS If you have already reported the SAFE training to GA+SCORE, but

werent able to upload your certificate, please send it to [email protected] so we can assist you. Please send one email per site/agency with an individual file attached for each certificate. 2. RECEIVING SAFE APPROVAL IN GA+SCORE

Based on a report identifying staff members who have completed training called SAFE%, OPM will flag CPAs who have completed the required training. SAFE status displays on the orange Provider Snapshot screen. 3. INITIAL APPROVAL Once a CPA is flagged in GA+SCORE as approved for SAFE, the view of the

screen for the Initial Approval will change to reflect the additional files required for this process. In the section Required documents for SAFE Homes, you will see SAFEspecific names for files with existing non-SAFE equivalents, such as the Financial Statement for Resource Parenting. In the following greenhighlighted section, Additional documents, you will see SAFE-specific files such as the Harvesting Sheet. All files are listed together under Upload new file.

3. INITIAL APPROVAL Until all CPAs are SAFE Certified, GA+SCORE will use transitional screens to collect information about initial approvals and re-evaluations. + Although GA+SCORE displays SAFE-specific names for all files, files with non-SAFE equivalents will be treated like the original file. Please be prepared to upload files like the Caregiver References List separately, NOT as part of a

single Primary Caregiver Onboarding Packet including multiple documents. You can combine the Caregiver References List for both caregivers or upload two files. + GA+SCORE will not modify the submission logic to check that files in the new Additional documents section are present. Screens will indicate which documents are expected, but the system will not prevent submission of incomplete records.

4. RE-EVALUATIONS Once a CPA is flagged in GA+SCORE as approved for SAFE, the view of the screen for the re-evaluation will also change. In the section Required documents for SAFE Homes, you will see SAFE-specific names for files with non-SAFE equivalents. In the following

section, Additional documents, you will see SAFE-specific files. All files are listed together under Upload new file. WHATS COMING Expect revisions to simplify this process when all CPAs are SAFE Certified!

APPROVAL LETTERS GA+SCORE now requires the agencys Initial Approval Letter on Letterhead for each submitted initial approval and the Annual ReApproval Letter on Letterhead for each submitted re-evaluation. For homes that have already been approved, please remember to use the link on the green Profile >> Contact Info screen to upload the Initial Approval Letter on Letterhead (all homes) as well as the most recent Annual Re-Approval Letter on Letterhead" (homes open at least one reeval cycle). The deadline is August 2nd.
